JOB SUMMARY



Responsible for providing administrative support to the Loan Officer in the areas of marketing, processing and closing loans. Establish and maintain a high level of service and customer satisfaction for team members and clients alike.



PRINCIPLE RESPONSIBILITIES



• Review documentation (i.e. tax returns, bank statements, pay stubs, etc.) to make sure everything meets program guidelines, and sign off on received conditions once underwritten.

• Review file documentation to ensure all necessary items have been requested (i.e. purchase contacts, bankruptcy papers, trust documents, etc.)

• Order third party reports including credit reports, escrow instructions, preliminary title reports and appraisals.

• Make outbound calls and screen incoming calls and emails. Book appointments as needed.

• Complete word processing of company documents and correspondence, including via Dictaphone and transcription. Create reports in Excel. Create marketing materials.

• Order supplies and equipment, and coordinate with vendors.

• Maintain dialogue with loan officers, lenders, real estate brokers, and escrow and title companies.

• Promote professionalism and customer confidence by keeping mortgage loan information confidential.

• Maintain the integrity of client records in the database and update as needed.

• Send marketing materials to distribution lists via both email and USPS, as applicable.

• Make deliveries and pick up materials at remote locations on an as needed basis.

• Set up all needs for new hires (paperwork, desk, equipment, etc.)

• Other duties as needed.



QUALIFICATIONS



• Must have past 1-3 years of experience working for a mortgage company.

• 1-3 years of administrative experience

• Knowledge of ENCOMPASS software is a plus.

• Able to manage multiple priorities

• Excellent oral and written communication skills

• Exceptional computer and word processing skills, including transcription

• Exceptional time management skills

• Detail-oriented and well-organized

• Able to work independently with little supervision at times

• Able to work under occasional periods of heavy pressure

• Maintain a professional attitude

• Dependable, reliable and punctual

• Proficient in Windows XP, MS Office and ACT!

• High School Diploma

• Knowledge of Spanish



Hourly compensation is based upon experience.
